School of Medicine Hospital Staff - TCD Information

Dear School of Medicine/Hospital Staff

This page was created to assist all Hospital Staff who have been nominated with a TCD Title to gain access to the Trinity College network system and facilities.

A large number of colleagues (clinical tutors, clinical lecturers, consultants, NCHD's etc.) on our teaching sites contribute to the School of Medicine through teaching and research, but are not employed by the University of Dublin, Trinity College.

To ensure these appointments are listed in the College Calendar, (and at the individuals request), have access to Trinity College Library facilities, email account and a TCD staff ID card, the following procedure must be followed:

A 'Nomination for Appointment Form' must be completed, in typed format and signed by the Head of Discipline/Unit with a CV attached

Nomination for Appointment Form [Salaried] (MsWord 109kB, Salaried nominations must also have a statement from the supporting cost-code and completed pensions declaration form (PDF 262 kB)

Nomination for Appointment Form [Unsalaried] (Ms Word 108 kB) Unsalaried forms and Visitor ID forms (Ms Word 134 kB) must also be signed by the nominee

Please ensure the correct title is included in the form see Board Approved Document (Academic Titles). Completed forms should be sent to your affiliated Discipline/Unit executive officer and they will forward to the School of Medicine Office for Head of School's approval and signature.

Once approved it will be sent by the Medical School Office to the Faculty Office for approval and inclusion at the next Council meeting. Final approval is issued by College Board.

Salaried Nomination are sent to the Faculty who send them to HR for set-up and inclusion in calendar where appropriate

Unsalaried Nominations and Visitor ID’s are sent by the School to HR for set-up and inclusion in calendar where appropriate.

Online Access

For access to the library's online catalogues please ensure that you have your TCD username and your password is current (click TCD Network for more information) The Library website is https://www.tcd.ie/library/ or log in directly to 'my library account'

Book Borrowing

For permission to borrow books, you must fill out a Library Bond Form. The Library Bond Forms can be obtained from the Berkeley Library or Human Resources. These forms must be completed and submitted to the Berkeley Library or email this completed form to LIBADMS@tcd.ie. Once encoded your staff card will also act as your library card.

As the vast majority of staff within the School of Medicine work off-campus and can not travel to College to collect their TCD staff ID cards. Please fill out this form with the below information and email it to HR@tcd.ie and they will send you, your Staff ID Card.

  • a head and shoulders photo in .jpeg format
  • your current postal address
  • staff ID Number (if you don't know this email oneillm1@tcd.ie)

Step 2: Fill out the Library Bond Form

If you are intending to borrow books from the Library your Library Bond Form must have been completed and returned to the Library (post to: Berkeley Library, Trinity College, Dublin 2 or email LIBADMS@tcd.ie). The Staff ID card will have the correct borrowing rights embedded in it (please note you can fill out this form after you obtain your staff ID card, the library will embed the information on your card at any time)

Step 3: The Staff Office will post out your Staff ID card to your current postal address.

If you are a new staff member and haven't activated your TCD account OR

If you have forgotten your Trinity Network Username and Password or if your password has lapsed, please contact Kevin Thompson email: THOMPSK@tcd.ie. Kevin will arrange to meet with you to supply you with these details. Please bring along your hospital staff ID with you. If Kevin is not available Mary O'Neill can also facilitate you.

Your password lapses every 6 months, so please regularly access your account at the URL mail.tcd.ie login You can no longer forward your TCD email to another email.

Office 365

What is Office 365 ProPlus? Microsoft Office 365 ProPlus suite of applications, including Word, Excel, PowerPoint, Outlook, OneNote, Publisher and Skype for Business. Office 365 can be used online at https://office.tcd.ie or mail.tcd.ie or downloaded on up to five devices, including Windows, Mac, Android and iPhone.

Office 2016

Office 2016 is available for download from https://office.tcd.ie.  Trinity staff can install Office on up to five desktops or laptops and install Office apps on iPhone and Android phones (Office apps are included with all Windows phones).  Most staff will already have a pre-installed version of Office on their desktop or laptop and, for staff using Windows PCs, it may be necessary to uninstall this older version first before installing the new version.

What is OneDrive?

Office 365 ProPlus also includes OneDrive. This is personal cloud storage where your data is stored on the internet and available from any internet-connected device. Staff can use up to 1TB (1000GB) of storage with a maximum upload file size of 2GB. OneDrive is a Cloud storage service and Staff should ensure that their use of the service is in line with the University Cloud Policy. OneDrive may not be suitable for the large scale storage of critically sensitive data such as; Information relating to the mental and physical health of individuals, Data subject to a confidentiality clause, Financial data such as bank account numbers or Biometric identification data.

Online access to an extensive learning library. Access to the Lynda.com website is through the TCD HR website. Please use your TCD network username and password to gain access lil.tcd.ie
