Obtaining your staff computer account

Your Trinity Staff computer account, also known as your network login username and password, will allow you to access a host of services on the Trinity network.

All users of the Trinity network are bound by Trinity's IT & Network code of conduct. The main thing to remember is that you must never give your login details to anyone else - as you are responsible for actions carried out under your account.

Steps to get your username & initial password

Step 1: When you have returned all employment paperwork and it has been processed by HR, they can issue you with an ID Card.

Step 2: A file is sent from HR to IT Services with your employment information (Name, Department, Job title) This file is processed into our systems overnight.

Step 3: Please contact the HR Service Centre (hr@tcd.ie) to collect your account username and initial password.

Things to note:

  • Staff logging in to the Trinity data network for the first time are requested to change their password and, for security reasons, must subsequently change it every 180 days. An automatic email notification will be sent from IT Services 14-16 days in advance of password expiry.

Existing Staff members

Obtaining your username and initial password

Any existing staff member can collect a printout of their username and initial network login password during standard opening hours from the IT Service Desk by presenting their staff ID card.

Please note that for security reasons usernames and passwords cannot be issued/confirmed by IT Service Desk personnel via phone or email.

For security reasons, staff must change their password every 180 days. An automatic email notification will be sent from IT Services 14-16 days in advance of password expiry.

Setting up your computer account with Microsoft 365

New Staff members

Things to note:

If you have been given a computer that was previously used by another Trinity staff member, then you can use this computer to complete the steps for setting up your computer account.

However, if you have a brand-new Trinity-owned computer, it needs to be networked before you can use it, so please complete the account setup steps below using another device (for example a colleague’s computer).

Setting up your computer account

  1. Log in to your Microsoft 365 account (office.tcd.ie). During the login process, you will be prompted to set up two-step sign-in, using the details that you received from HR. See our web page for Two-step sign-in (TSSI) - Setup for personal accounts for full instructions.
  2. Once you have completed the setup for TSSI, you can log into your Microsoft 365 account to change your password. For security reasons, please change your password as soon as you have set up TSSI. See our web page for Self-service password reset tool for full instructions. If you do not change your password straight away, then you will receive an email reminder about password expiry within your first two weeks as the initial password will only be valid for a short time. Subsequently, you will be required to change your password every 180 days after that.
  3. Once you have set up TSSI and changed your password, you can use your Trinity computer account username and new password to sign into different Trinity online services like your email, Blackboard, the Library, Wi-Fi, etc.

Frequently asked questions

Account entitlement queries

Queries in relation to certain IT account entitlements e.g. if no email address has been provisioned or if you are not included on a departmental mailing list, may need to be directed to Human Resources. Access to certain Trinity IT services is determined by the details in your record on the Human Resources system.  HR will be able to confirm your current coding on their system and the associated entitlements. In some cases your Head of Department may need to request further entitlements from HR on your behalf. Once your record has been updated on the HR system then your IT account and access to relevant IT services will be automatically updated within 72 hours.

Can I change my Trinity account username?

It is not possible to request that usernames be changed unless your personal details are entered incorrectly in Human Resources' records. In such case, please contact HR.

If HR edit your record please contact the IT Service Desk to have your username updated.
