How to create private mailing lists

There are two types of private mailing lists:

  1. If all list members are registered staff and students of Trinity then you should use the Mailman service. To create a Mailman list fill out and submit the Mailman list request form.
  2. If the mailing list is to include non-TCD email addresses then a Listserv mailing list must be used. To create a new Listserv list fill out and submit the Listserv list request form

A more detailed description of the two list types is available below.

Mailman mailing lists

Mailman mailing lists can be used only if all members are registered Trinity staff and students. To create a Mailman list fill out and submit the Mailman list request form. After the request has been submitted and the list has been setup, the owner will be emailed a document outlining how to manage the mailing list. This can be requested at any subsequent point by contacting the IT Service Desk.

During the request process owners can request the list to be either an Announcement list or a Discussion list. An Announcement list means that only specified named users can email the list. Alternatively, all list members can email a Discussion list.

Listserv mailing lists (provided by HEAnet)

A Listserv mailing list should be used if membership includes non-TCD email addresses. Before you request a Listserv mailing list, please read the service details on the HEAnet Listserv web page. To create a new Listserv list; fill out and submit the Listserv list request form.

Privacy settings

Owners determine what privacy level is required: Public, By Owner or Closed. If the list is public, anybody will be able to subscribe to the list. For other types of lists, subscribers may only be added by the list owners. Owners also specify privacy settings for Review permissions, Send permissions, Archive access and Confidentiality status.

How to use mailing list commands?

Changes on the list server are made using commands sent via email to listserv@listserv.heanet.ie. As an example, to request help message from the mailing list server, send an email to listserv@listserv.heanet.ie with the following text in the main body of your email (leave the subject field empty):

help
end

The command end tells the server to stop processing further commands. This is useful if your email client adds a signature. After you send the message you will receive an email back from the mailing list server.

Useful Listserv commands

Note: In each case substitute the real name of your list for listname.

To subscribe to a list, send an email to listserv@listserv.heanet.ie with the following text in the main body of your email

subscribe listname Firstname Lastname
end

To unsubscribe from a list, send an email to majordomo@tcd.ie with the following text in the main body of your email

signoff listname
end
