Bannered themed weeks

Protocol for Bannered Themed Weeks from the Office of the Senior Dean

Trinity, the students' union and the Central Societies Committee acknowledge that there are a number of historically‐occurring Themed Weeks throughout the College's Academic Year which have developed to express Trinity wide interest in a number of issues: student, collegial, national and international. In virtue of Trinity‐wide interest in these said issues, banners have been placed at a number of Trinity's gates to advertise and declare the respective Themed Weeks.

This protocol seeks to formalise the procedures associated with the placement of banners for the historically‐occurring Bannered Themed Weeks, for proposed additional Bannered Themed Weeks, and for occasion‐specific/anomalous banner usage. The university, the Students' Union and the

Central Societies Committee acknowledge that Trinity departments and administrative areas, groups constituted within the student body, clubs, and societies, may from time to time wish to deem a week within Trinity academic calendar a themed week for the respective group's own purposes but this acknowledgement does not render an automatic right to the placement of a banner or banners in association with such activities.

1. Each year, prior to the beginning of Michaelmas Teaching Term, the Senior Dean is to be presented with a calendar indicating the placing of the historically‐occurring Bannered Themed Weeks (BTW) in the forthcoming Academic Year. The Students' Union's Administrative Officer, the Central Societies Committee's Strategic Development Officer and Trinity's Communications Office are jointly responsible for the collation of the BTW Calendar. The Students' Union's Administrative Officer and the Central Societies Committee's Strategic Development Officer shall act jointly as liaison for BTW initiated by the student body, by clubs, or by societies. Trinity's Communications Office shall act as liaison for BTW initiated by academic and administrative areas within Trinity.

2. In collating the BTW Calendar the Students' Union's Administrative Officer, the Central Societies Committee's Strategic Development Officer and the Communications Office, as appropriate, shall be responsible for liaising with the organisers of the various historically‐occurring BTW so as to ascertain proposed dates within the following academic year. Under no circumstances will permission be granted to place a banner at the Front Gate of Trinity.

3. Whilst recognising that there may arise, from time to time, a suggestion for an additional Bannered Themed Day/Week, on a non‐recurring or recurring basis, within an academic year, the Senior Dean requires that, prior to any consideration regarding such a day/week, a written proposal should be submitted detailing the purpose and nature of the week, an outline of proposed activities and a clear indication of how the proposed week differs in essence from the historically‐occurring BTW. In the first instance those proposing an additional BTW should liaise with the Students' Union's Administrative Office or the Central Societies Committee's Strategic Development Officer or the Communications Office as appropriate. Emphasis is placed upon the historically‐occurring BTW: precedence shall be given to these over any additional BTW proposed within an academic year. In the case that there is a suggestion regarding the placement of an occasion‐specific/anomalous banner the Senior Dean requires that, prior to any consideration regarding such suggestion, a written proposal should be submitted detailing the purpose and nature of the occasion or activity which the banner serves to advertise, and a clear indication of how the proposed occasion or activity reflects or serves a Trinity‐wide interest.

4. The BTW Calendar shall give details of the number and proposed location of banners associated with each BTW.

4.1 The two acceptable locations for the placing of banners are: above the entrance to the Arts Building at the top of the Arts Building Ramp; and, the viaduct at the North‐East gate.

5. On foot of the submission of the BTW Calendar to the Senior Dean, and barring any requirement for amendment thereto, the Students' Union's Administrative Officer, the Central Societies Committee's Strategic Development Officer and the Communications Office, as appropriate, shall be responsible for liaising with the organisers of the various historically occurring BTW to inform them that they must formally write to the Senior Dean and must send a copy of the formal application to the Senior Dean's Executive Officer, to request permission for the placing of banners associated with the respective BTWs.

6. Each BTW shall start on the Monday of the designated week of term and conclude on the Friday immediately following.

7. The banners associated with each BTW shall be put in place no earlier than the Monday morning of the designated week of term and shall be removed no later than the evening of the Friday immediately following.

8. The Students' Union's Administrative Officer shall act as liaison between the organisers of each BTW and the Buildings Office which is responsible for the physical installation of the banners. And in this regard:

8.1 The organiser of each BTW is responsible for ensuring that its letter/email detailing the permission from the Senior Dean for the use of banners is sent to the Students' Union's Administrative Officer no later than the Monday prior to the BTW.

8.2 The organiser of each BTW is responsible for ensuring that the banner(s) are presented to the Students' Union's Administrative Officer no later than the afternoon of the Wednesday prior to the BTW.

8.3 The Buildings Office cannot agree to the placing of any banners without first ascertaining   that permission has been granted by the Senior Dean nor can it collect banners from individual organisers, all banners must be collected from the Students' Union's Administrative Officer.
