Step 1: Notify students that their lecture will be recorded
If you plan to record a lecture and make the recording and/or a lecture summary available after the lecture, notify students of this in advance (if possible) in the module or programme handbook, and in the module descriptor in Blackboard Ultra.
Students can also be notified in Blackboard Ultra if a planned recording will not be able to go ahead (e.g. for technical or logistical reasons).
Step 2: Review your lecture/slide material
Before your lecture, review your lecture slides to ensure that the material included does not pose any issues regarding copyright, confidentiality, intellectual property rights or the inclusion of sensitive material.
Include the Student Recording Advisory Notice as the opening slide in your slide deck advising students that the lecture is being recorded.
Step 3: Record your lecture using Panopto
Once your lecture slides are ready, consult the IT Services Panopto How to Guide on Recording Lectures and managing/editing recordings.

During the lecture, you may pause or cease recording at any time if concerns arise regarding data protection, confidentiality, intellectual property rights or the discussion of sensitive material.
When the recording is complete, review and/or edit it to make sure that issues of data protection, confidentiality, intellectual property rights or the discussion of sensitive material have been addressed.

Step 4: Upload your lecture recording to Blackboard
When you are happy with your lecture recording (or lecture summary), upload it to the Blackboard Ultra module content area - see the IT Services Staff Video Guide.
Using the instructions provided, decide when your want the lecture recording (or lecture summary) to be available to students, and for how long.
Notify students that the lecture recording (or lecture summary) is available.
Personal data, as defined by the European Union General Data Protection Regulation (GDPR) is any information relating to an identified or identifiable natural person ('data subject’).
An identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.
Images and voices are considered as personal data.
Trinity, as a data controller, is entrusted to safeguard personal data under GDPR. The University processes large volumes of personal data, which creates a significant
responsibility to protect the rights of individuals. If data is lost, stolen or mislaid, it can harm individuals’ rights and freedoms.

Trinity owns the Intellectual Property Rights (IPR) in lecture recordings and lecture summaries produced for educational purposes, but teaching staff retain the ownership of their performance rights i.e. the giving of the lecture.
College may only use the recorded performance of your lecture or your lecture summary for the specific educational purpose for which it was created.
Use recordings and associated data for relevant purposes only
• Avoid collecting unnecessary or excessive data
• Keep information up-to-date and accurate
• Implement appropriate security controls such as account access controls and limit use and data sharing to what is necessary
• Keep saved files in College-controlled Cloud storage systems and avoid saving data to your computer or laptop’s hard drive
• Ensure that devices used for College-related purposes have system and security updates and antivirus software installed - contact IT Services for support
• Only retain data for as long as it is needed and securely delete data when no longer required.
