Academic Transcripts
Academic transcripts are provided, on request, to the individual student or graduate. Offices responsible for producing transcripts should ensure that adequate procedures are in place to establish the identity of the requestor. Transcripts are never provided to, or at the request of, third parties, unless written permission has been given by the individual student or graduate concerned. However, confirmation of the final qualification obtained may be sought by, and given to, third parties such as prospective employers or other educational institutions. A copy of all transcripts issued should be retained by the issuing office. Each issuing office should ensure that information on the local procedure for issuing of transcripts, including details of notice required, is readily available to students. Such information should be included in all course handbooks.
Information to be included in academic transcripts
Academic transcripts are produced by academic schools, departments, faculty offices, and the Student Records Office according to the level of detail required. Transcripts provided by the Student Records Office record only the overall result for each year of course for certain courses (see http://www.tcd.ie/vpcao/administration/records-awards/academic-transcripts.php for details).
In all cases, academic transcripts must be produced on official headed notepaper and record the following details:
the full name of the student as recorded on the College's Student Record file; |

the year of admission and the title of the course to which the student was admitted (where a student subsequently transferred to another course, the result for any examinations taken in the original course and the year in which they were obtained must also be recorded); |

the academic year in which examinations were taken for each year of course, the results, including percentage results, and prizes obtained at each examination session (annual and supplemental) in that year (where a student was elected to Scholarship or made exempt from presenting for some or all examinations in a given year on the basis of their performance in the Foundation Scholarship examination, this should be indicated on the transcript); |
|
any periods during which a student was off-books; |
|
the full name of the host institution and details of examinations taken and results obtained in the case of students who have studied abroad in the context of an approved exchange programme; |
|
the title of the degree/diploma/certificate awarded, the year of the award, and the overall degree classification (or whether a diploma was awarded with distinction); |
|
the date of issue of transcript and signature of an authorised member of staff (the Head of department/school, course director, faculty Dean, or person nominated by them, or Administrative Officer, Student Records Office); |
|
a guide to the mark range corresponding to the grades awarded. |
