Managing Data securely in Office365 with SharePoint, OneDrive and Teams

IT Services provides services in Office365 for staff to use to securely store and share their documents.

These services are safe and secure, backed up and GDPR compliant. IT Services recommends that where possible staff use these services rather than other external services such as Dropbox, Google Docs or Slack which are not managed by IT Services.

Microsoft OneDrive

Microsoft OneDrive provides staff and students with 1TB of personal cloud storage to store or backup important documents that you may be working on. The service provides storage for many types of files Word, Excel, PDFs, photographs, video files, etc.

As OneDrive stores files online, you will be able to access them from any internet-connected device using your Trinity username and password. You can also collaborate and share files with colleagues, students and external partners.

Microsoft SharePoint Online

SharePoint is a secure and central place to store, organise, share and access information amongst colleagues and external partners. it is suitable for a School or administrative area or Research group to use to publish news updates or utilise as a document repository for staff, students or external collaborators.

With SharePoint online, you and your team can:

  • build intranet sites and create pages, document libraries, and lists;
  • manage your daily routine with workflows, forms, and lists;
  • share important visuals, news, and updates with a team or communication site.

Microsoft Teams

Microsoft Teams provides staff and students with a central place to work together online, with files stored in cloud storage, chat, planner, wiki and other productivity tools. Teams is a collaboration app available through Office 365 which has been designed for smaller groups of people who work together regularly. Its largest benefit is instant communication amongst a small group and the ability to share information and files easily all in one centralised place.

Teams can be installed on your computer / mobile device or can be used online through a web browser.
