NAS Data Storage Service - service usage guide

This page contains helpful advice and instructions for the use and maintenance of your NAS Data Storage.

Connecting to the service

Please see the connection instruction page for details on how to access the NAS data storage folder using supported operating systems.

Permission changes

Default group permission changes

When NAS is created, a default User Group is set and assigned to it to facilitate access for Trinity users. Members of that default group are instantly granted access to the NAS share.

Registered Administrators can request Trinity users to be added or removed from that default group. To do this the registered Administrator should log a request with IT Service Desk.

Explicit permission changes

The Administrators can overwrite any pre-set permissions using instructions provided on the Managing File Access Page. Setting permissions works only from Windows PCs.

Creating subfolders

The nominated local administrators/technical contacts will be responsible for the creation and modification of subfolders within the main storage folder and changing permissions if required on these subfolders

Using NAS as the primary location of your files

Some users may decide to use NAS as an active workspace, i.e. keep all their files on the NAS area as their one and only copy of their files. If you intend to use NAS in this way, we strongly advise that you also purchase a NAS backup option when requesting NAS.

To use NAS as the primary location of your files IT Services recommends setting up shortcut to the online NAS folder.

  1. An Administrator of the NAS should create a Staff folder and a nested User folder for each user of NAS
    e.g \\wincifsdept\ShareName\staff\username
  2. Users can create mapping to the network folders on their computers. It may be useful to create two mapped drives: one to the root NAS folder and another one to the User folder.
  3. On the Desktop, users create shortcuts to the mapped folders.
  4. Remember to clearly name the shortcuts, for example ‘My NAS documents’.

If you require assistance setting this up, please contact the IT Service Desk.

Note: We do not recommend setting up My Documents folder redirection. This option, if implemented incorrectly, may lead to data loss.

Making files available offline

Some user require to have their files available while offline. You can use the Windows offline file synch option to do that.

To make files available offline

  1. While connected to the network, locate the network file or folder that you want to make available offline.
  2. Right-click the file or folder, and then click Always available offline.
