Guidelines on submitting staffing requests for Heads of Administrative Departments reporting to the COO
All changes to staffing arrangements for areas reporting to the Chief Operating Officer require approval before they can be implemented via Payroll, Recruitment, Staff Relations, etc.
The proposed changes must be outlined clearly in the HR Staffing Application Form and submitted to fmhaffey@tcd.ie
A Staffing Submission is required for ALL of the below scenarios:
- Replacement
- New Post
- Career Break
- Maternity / Unpaid Maternity Leave
- Extended Sick Leave
- Unpaid Leave
- Contract Extension
- Transfer to Contract of Indefinite Duration
- Reduction in Employee Hours (must be accompanied by a letter/e-mail of acknowledgement from the Employee).
Timeline for submission
The Staff Planning Officer meets once per month with the COO to consider staffing requests from Heads of Administrative Departments. These requests are then considered and endorsed at the monthly meeting of the SAMG. (click here for 2011-12 Schedule for receipt of staffing submission)
Tips for the completion of the application form:
- Must include a valid Pay code.
- A detailed justification for the request must be included and additional information will assist in its consideration by the COO / reduce the number of follow-up queries.
- All HR Application Forms must be signed by the Head of Department before submission.
- Return by the deadline to Fidelma Haffey to facilitate checking/sign-off of the proposal / budget .
N.B. Late or unsigned applications will not be considered.
