TCD voicemail guidelines and voicemail application form

Voicemail is used to provide an efficient and courteous way of handling incoming calls and is there to help callers save time in trying to reach you. It must be remembered that it is not intended to replace “human” contact. Voice-mail should only be used when you are away from your desk or at a meeting. At no time should one “hide behind” voicemail. Calls should always be returned or passed to an appropriate person to deal with.

Your greeting should be brief yet informative and should always be recorded without any background noise and give the extension number of your departmental secretarial office so that callers may reach “live” assistance if they wish.

If you are absent from the office for any considerable length of time your voicemail message should reflect this and give alternative methods of contact for your department. Voicemail boxes that are left unchecked for 30 days will be disabled by the Director of Buildings’ Office unless prior notice has been given of the absence.

If you move from an extension, it is important that you contact the Director of Buildings’ Office in order to remove the mailbox from your old extension and set up a new one, if necessary.

It is very important and in the interests of College as a whole that the above points are recognized and adhered to by all users.
