General Information

Following a tender project run under the Department of Finance’s Mobile Framework Agreement, College awarded the contract for the provision of Mobile Phone Services to Vodafone Ireland Plc.
Please note all mobile phones which are billed against College budget accounts, must now be moved to the new standard government tariff of 13.50 euro per month (exluding VAT).  This flat fee covers all calls and texts to any mobile phone network and calls to all landlines within the Republic of Ireland with the exception of calls & texts to premium rate numbers and MMS messages.  Data usage, roaming usage and international calls are also charged in addition to this flat fee.

Billing

The College has consolidated its billing requirements so that the Treasurer's Office will receive one overall invoice per month.  Please note that users will no longer be required to pass invoices to the Treasurer's Office for payment as the Treasurer’s Office will assign monthly charges to the costcode provided on the Vodafone Set Up form. Users should review their paper bills and report any anomalies to the Director of Buildings’ Office. Paper bills should be retained by the user in compliance with auditing procedures.

New Connections to the Vodafone Account
Before joining the College Vodafone account, new users are first required to complete the Vodafone Set Up form and return it to the Director of Buildings’ Office.  No request should be submitted unless approval has been obtained from the requester’s Head of Department/School.

Transferring a mobile number from a Personal Vodafone Account
Users who are currently with Vodafone on personal accounts which are charged to College budget accounts will need to complete both the Vodafone Set Up form and the Transfer of Ownership form.

Transferring a mobile number from a Personal Account with a Different Network
Users who are with a different mobile network and wish to retain their mobile numbers may have their mobile numbers ported over to Vodafone and obtain a new SIM card through the Director of Buildings’ Office.  The porting process is straightforward and will occur at a time and date predetermined by the user.  The process takes approximately 2 hours with the user losing coverage for no longer than half an hour.  The CAF form , in addition to the Vodafone Set Up form, will need to be completed when porting from a different network.
It is advisable to confirm whether you are out of contract with your current mobile phone provider to ensure you are not liable for termination fees. 
It is also advisable to confirm whether your current handset is “network locked” and if it is, obtain the unlock code from your current provider.

Ordering a new Mobile Phone
If a user wishes to order a new mobile phone they must complete the order form available via the following link: Vodafone Order Form . Users are eligible for upgrade at the end of their current contract, which is 12 months for standard phones and 18 months for smartphones.  New connections to the account are also eligible for the upgrade price. Phones purchased before the user is eligible for upgrade are charged at the SIM free price.

Ordering a Smartphone
In addition to the information required in the proceeding section, orders for smartphones must be accompanied by a hardcopy purchase order signed off by the Head of School or Administrative Area.
- Your mobile number
- The iPhone package required
- The data bundle type required
- Authorised signature
N.B.
Treasurer's Office has advised that these orders must be signed off by the Head of AdministrativeArea or School where appropriate.
 
In the case of orders for Heads of Administrative Areas & Faculty Deans, Treasurer's Office has advised that these must be signed off by the Chief Operating Officer or the Chief Academic Officer as per the guidelines in the Heads of Admin Roles/Responsibilities and the guidelines in the Faculty Deans/Heads of Schools Roles/Responsibilities which may be found under the links below:

Ordering a Data SIM
Users who wish to order a data SIM to access the internet via their laptop, iPad, etc. should complete the Vodafone Set Up form and indicate that a data SIM is required on the form. The monthly package for data SIMS is 16.45 euro (excluding VAT) for 10GB of data for use within Ireland. When roaming, the data roaming rates outlined in the section below will apply.

Insurance Cover
HANDSET INSURANCE ON THE COLLEGE ACCOUNT IS AN OPTIONAL EXTRA - If you wish to add handset insurance to your account please indicate this on the order form. Smartphone insurance is chargeable at 9.99 euro (excluding VAT) per month while insurance cover on all other mobile devices is chargeable at 5.99 euro (excluding VAT) per month.

Accessing Email & Internet via Mobile Phone
Users who wish to access emails and the internet on their smartphone require a 1GB domestic "on device" data bundle. This is priced at 8.26 euro (excluding VAT) per month. Users who wish to access emails and the internet on a secondary device such as a laptop using their smartphone as a modem require a tethering domestic data bundle.  There are two bundle options available for tethering, either a 2GB combined bundle for €15 ex VAT which will allow the user to access emails and the internet both on the mobile device itself and while using the mobile device as a modem for a secondary device such as a laptop. There is also a 10GB "tethering only"; bundle available for an additional 16.45 euro (excluding VAT) per month.
If you require a data bundle add-on to your account, please indicate this on the order form at the time of purchase.
Please note thatif you exceed your monthly allowance or do not have the appropriate data bundle in place on your account and access the internet or emails, this usage will be charged at 0.1c per KB.

Roaming Charges
Roaming charges for both calls and data usage while overseas are outlined in the attached document: Roaming charges

Worldwide Data Roaming Plan

The 70 euro for 500mb per month worldwide data roaming plan was withdrawn on 21st February 2012 and replaced by a 45 euro per month for 500mb worldwide plan. 

Please note, this 45 euro is a standing charge billed monthly to your account whether you travel overseas or not.

Customers who exceed the 500mb allowance in a given month are charged 1 euro per MB in excess of their limit while travelling within the EU or 5 euro per MB in excess of their limit throughout the rest of the world.          

Charge per MB
Those customers who are not on a data roaming plan are currently charged 1 euro per MB while travelling within the EU or 5 euro per MB throughout the rest of the world.  There is no change to this per MB charge.  To add the data roaming plan to your account contact your administrator (please note permission must first be granted by your Head of School).  Your administrator will contact myself or Louise Vaughan with any approved changes to the School/Department/Administrative Area account.   

Automatic 50 euro cap on data roaming charges

From the 22nd Februrary 2012, all customers will automatically have a 50 euro data roaming cap imposed on their accounts.  Once data roaming charges approach 50 euro within a given month, the customer will receive a text notifying they are approaching the data roaming cap. 

If they do reach 50 euro in data roaming charges within a given month, the customer will be barred from using data services and will receive a text to inform them that they have reached the cap on their account. Customers choosing to opt back out of this cap, must first seek permission from their Head of School or Administrative Area and contact their administrator to remove the cap who will in turn send any approved requests to myself and Louise Vaughan.

In general we recommend turning off mobile data on your phone instrument and to use WiFi instead where available while travelling overseas to avoid roaming charges to your account.

Road Works

As part of on-going maintenance works, it is planned to resurface various tarmac locations around the college in the coming weeks commencing on the 9th of September 2013.

The following areas will not be available for parking or vehicle access (pedestrian and emergency services access only) on the following dates below.

  1. Physiology to Zoology - 4 days (9th September to 12th of September)
  2. Anatomy to Chemistry - 4 days (12th September to 17th September)
  3. Chemistry - 3 days (18th September to 20th September)
  4. House 27, House 11 to 14 - 6 days (20th September to 27th September)
  5. House 15 to 20 - 4 days  (23rd September to 27th September)
  6. Catex - 2 days (30th September to 1st October)

Landscaping Works

Work is scheduled to commence on the removal of the Botany Hut and the Computer Hut to facilitate landscaping works.  These single storey pre-fabricated type buildings are located to the east of the rugby pitch and on the site bounded on the north by the Botany Building and on the south by the Fitzgerald Building (Physics).  A security fence will be erected around the huts commencing Wednesday 28th August 2013.  Please click here for a site map showing the location  of the works.  

Parking spaces to the north of the Botany Hut will be removed from Tuesday evening 27th August 2013.  Access will be maintained to all adjacent buildings including the Fitzgerald Building, Botany Building and SNIAMS.  Some short term temporary pedestrian diversions may be necessary during the works which will be signposted.

Traffic Restrictions

Renovations to Houses 38 and 40 on the east side of New Square will commence on Monday July 22nd 2013 with a completion date in February 2014.  This will necessitate certain changes in parking, vehicular and pedestrian routes in New Square.

  • Parking Restrictions

From 22nd July, 2013 parking will not be available on the east side of New Square or in front of Houses 38 to 40

  • Pedestrian Routes

For safety reasons during the works the path on the western side of New Square (behind the Rubrics) will be restricted to pedestrian and bicycle traffic only.  Pedestrians will also be directed to use the walkway behind Houses 33-37 in front of Aras an Phiarsaigh

  • Vehicular Traffic

A contractor’s compound will be erected to the front of Houses 38 and 40 and a single one way lane for traffic (from north to south) will operate on the east side of New Square.  A single one way lane for traffic (from east to west) will also operate along the southern side of the Square.  A  ‘two way’ traffic flow will operate as normal on the north side of New Square.  Permit holders looking for parking should note the map on the link below which shows the temporary traffic flow arrangements for the duration of the works and vehicles should avoid passing through Front Square at all times.

Two other maintenance projects are also due to commence that will involve further parking restrictions as follows:

Resurfacing of the College Rugby Pitch will commence from Friday July 19th, 2013 with an expected completion date of 30th September, 2013.  13 car parking spaces to the rear of House 38
will be removed for the duration of these works.   

Refurbishment works in Houses 47 to 48, will commence from Monday August 5th 2013 to August 31st  2013.  3 car parking spaces in this area will be unavailable for the duration of the works.

Any inconvenience caused by these works is regretted.
